How to keep track of unpaid invoices
Set clear payment expectations
Agree payment terms with the customer and put the due date and payment instructions on the invoice. Use consistent invoice numbers so both parties can identify the payment.
Review balances regularly
Choose a regular time to check outstanding invoices in PaidNow. Look at the remaining balance rather than just the original total: partial payments and credit notes can change what is still owed.
Check before following up
Confirm that the payment has not already arrived. If a customer disputes an invoice, resolve the details before sending further payment requests. A polite, personal follow-up can include the invoice number, due date and remaining amount.
Keep a clear record
Record verified external payments accurately and keep payment references. Do not mark an invoice paid simply because a customer opened a link. Use the supported correction and credit-note workflow for issued invoices instead of changing their historical details.
