How to send an invoice and payment link through ordinary WhatsApp

Prepare the invoice

Create a draft on the PaidNow website or mobile app. Review the details and approve it before sharing. Download the issued invoice PDF so the customer has a copy of the work, amount and payment instructions.

Attach the PDF

Open the customer’s conversation in your usual WhatsApp app. Choose the document attachment option and select the invoice PDF. On supported phones, you can also use the sharing options provided by PaidNow. Check the recipient before sending.

Add the payment link

With your own supported payment processor connected, generate and copy the invoice payment link. Paste it into the conversation with a short message identifying your business and the invoice number. Never ask the customer to send their card details in a message.

Check the payment status

A sent message is not proof of payment. Check the invoice balance in PaidNow. Verified processor payments update the financial record; for payments received elsewhere, check your own bank records before recording them. Manual WhatsApp sharing does not require a WhatsApp Business account.
